Professional services firms now win clients before the first call. Buyers research alone, ask AI tools and trust peers over firm websites. In a Semrush survey published in July 2026, 51% of business buyers who use AI said they research agencies and service providers with it.

How do buyers find a professional services firm in 2026?

Most of the work happens before a buyer gets in touch. SurveyMonkey and Reddit published a study in March 2026. 83% of B2B decision makers said they research on their own before ever speaking to sales.

That study surveyed 1,202 US business decision makers between December 2025 and January 2026. 37% of professional services buyers follow an extended research timeline, it found.

A referral still matters, but it now starts the research rather than ending it. The buyer hears a name, then checks the firm online and asks an AI tool what it knows.

So the firm's own pages, its reviews and what others write about it all carry weight. A thin website gives a curious buyer very little to go on.

Do buyers use AI to choose an agency or adviser?

A growing share do. Semrush surveyed 643 US B2B professionals in March and April 2026 and published the results in July 2026.

Of those who use AI at work, 66% regularly use it to research products, vendors or solutions. 92% say AI has shaped their vendor shortlist.

Agencies and service providers top the list of what they research with AI, at 51%. Buyers also research B2B financial and legal services with AI in 25% of cases.

41% now start with AI and then check what they find through search. Just 7% say brand recognition influences whether they notice a vendor.

For a firm, the answer an AI tool gives about you now matters. It builds that answer from your website, your reviews and what others publish about your work.

A caution on the source. Semrush sells search and AI visibility tools, and its sample was US only. The direction still matches the other 2026 research below.

Who do buyers trust when they check out a firm?

Other people, ahead of the firm itself. According to SurveyMonkey and Reddit, March 2026, 73% of decision makers trust peer insights, against 55% for vendor websites.

The same study put search engines at 54%, review sites at 46% and AI chatbots at 39%. 55% of decision makers find it difficult to identify trustworthy sources of information.

That gap is an opening. A firm that publishes clear, useful answers gives buyers, and the AI tools they use, something solid to work with.

Reviews on the sites your buyers read carry weight too. So do named client stories, where clients have agreed to be named.

Does thought leadership still win professional services work?

It does, when it is good and steady. Edelman and LinkedIn surveyed business decision makers for their 2025 B2B Thought Leadership Impact Report.

According to Edelman, June 2025, 79% of hidden buyers are more likely to back proposals from firms consistently publishing high quality thought leadership. Hidden buyers shape the decision without ever meeting the sales team.

64% trust thought leadership more than product sheets or brochures when assessing capabilities. 95% say strong thought leadership makes them more receptive to sales and marketing outreach.

The word that matters is consistently. A burst of articles before a pitch does less than a steady run of useful pieces that buyers meet over months.

The key figures on how professional services firms win clients

  • 51% of business buyers who use AI at work research agencies and service providers with it, according to Semrush, July 2026.
  • 92% of those buyers say AI has shaped their vendor shortlist, according to Semrush, July 2026.
  • 83% of B2B decision makers research on their own before speaking to sales, according to SurveyMonkey and Reddit, March 2026.
  • 73% of decision makers trust peer insights, against 55% for vendor websites, according to SurveyMonkey and Reddit, March 2026.
  • 79% of hidden buyers are more likely to back proposals from firms that consistently publish high quality thought leadership, Edelman found in June 2025.
  • 81% of B2B buyers say the RFP response is the most important factor shaping their decision, according to Responsive, October 2025.
  • 52% of B2B buyers say industry expertise carries significant weight, ahead of price at 49%, according to Responsive, October 2025.

What wins the work once a buyer gets in touch?

The proposal, more than the price. Responsive surveyed 350 B2B buyers for research published in October 2025. 81% said the RFP response is the most important factor shaping their decision.

Industry expertise carried significant weight for 52%, ahead of price at 49%. 61% said they start the process with a preferred vendor in mind.

Responsive sells proposal software, and its sample is small. Still, it fits the pattern. Buyers arrive with a favourite, then test it against the proposal.

What good looks like after the first enquiry:

  • A personal reply the same working day, with a link to book a call.
  • A short questionnaire before the call, so the first meeting is about the client and not the basics.
  • A recap after the call that sets out what was agreed and what happens next.
  • A proposal built from a template that already holds your credentials, relevant work and terms.
  • An alert to the partner when the proposal is opened, and a reminder if it sits unread.
  • A request for a review or a referral once the work is delivered.

What does this mean for a firm's marketing system?

The firm that wins is the one buyers keep meeting while they research. Then it has to be quick and well prepared when they reach out.

That takes more than a website and an inbox. The articles, the enquiry form, the calendar, the proposal and the CRM need to share a single record of each prospect.

What to build:

  • A steady rhythm of articles that answer the questions clients ask, written so people and AI tools can read them.
  • An instant, personal reply to every enquiry, with a booking link.
  • A view of every page, article and email each prospect has read, for whoever takes the call.
  • Proposal tracking, with follow up that stops the moment the client replies.
  • Review and referral requests that go out when a project closes.

What to measure:

  • Where each enquiry heard of you, whether a referral, an article, a search or an AI tool.
  • Time from enquiry to first reply, and to first meeting.
  • Proposal win rate, and how long proposals sit before a decision.
  • Reviews and referrals for every completed project.

We build this for professional services firms as part of a bespoke marketing system, designed around how each firm wins clients. The CRM, website, bookings, proposals, email and AI agents share a single record of every prospect.
