Five automations every service business should have running

The workflows I build first for almost every client, and why each one quietly pays for itself.

When a new client comes on board, there are five workflows I build first. They're not glamorous. They just stop money leaking out of the business, and none of them needs a single extra lead.

1. Speed to lead

When someone fills in a form or sends a message, that's the moment they're most interested. The longer they wait, the more likely they are to book whoever replied first. A speed to lead workflow replies within a minute, answers the obvious questions and offers a time to talk.

  • Instant reply by email and text, in your voice
  • An AI agent handles the first questions
  • A booking link with real availability
  • You're notified, with the details already logged

2. Missed call text back

Every missed call is someone who wanted to talk to you right now. A missed call text back sends a friendly message within seconds, so the conversation carries on by text instead of going to a competitor.

3. Reminders and no show recovery

A confirmation, a reminder the day before and a nudge an hour before do most of the work. When someone does miss an appointment, a polite rebook message offers two new times. People who miss appointments are usually embarrassed rather than uninterested, so make it easy to come back.

4. Win back old clients

Past clients already know and trust you, which makes them the cheapest people to sell to. A reactivation workflow checks in with anyone who has gone quiet for a set period, in your voice, and gives them a genuine reason to come back.

5. Reviews and referrals

When a job is finished, ask how it went. Happy clients get a one tap link to leave a Google review and an invitation to refer a friend. Anyone less happy comes straight to you, privately, so you can put it right before it goes public.

Why these five

Each one fixes a leak that already exists. They make the leads, calls and clients you already have worth more. Once they're running, spending on ads makes a lot more sense, because every new lead lands in a system that looks after it.

Every Afoofa system includes versions of all five, built around how your business works and written in your voice.
