How to cut no shows on sales calls and demos

In September 2026 Focus Digital, a marketing agency, brought together published data on 6,428 booked B2B meetings. It's a compilation rather than a controlled study, so treat it as a guide.
- Around 25% of booked B2B sales meetings were no shows overall.
- Meetings booked instantly, on the form someone had just filled in, had a no show rate of 8%.
- Meetings from paid search and paid social lead forms had a no show rate of 33%.
- Meetings booked for the same day had a no show rate of 7%.
- Text reminders were opened 98% of the time, against roughly 20% for email.
Six changes that bring more people to the call
- Offer times on the spot. When someone fills in your form, show your calendar straight away instead of emailing to find a time.
- Keep the gap short. Offer the earliest slots first, including the same day where you can.
- Confirm instantly and remind twice, by email and by text, the day before and an hour before.
- Make moving easy. A one tap link to change the time saves the slot and the relationship.
- Follow up within the hour if someone misses the call, with a friendly link to rebook.
- If someone misses twice, create a task for a person to call them, rather than sending more automated messages.
What to measure
Track your show rate by lead source and by the number of days between booking and the call. Those two numbers show where to start, and whether the changes are working.
