The software was never the problem

Why powerful CRMs end up as expensive empty logins, and what actually gets a system used every day.

I've built marketing systems for businesses for years, and I keep seeing the same scene. A business pays for a powerful platform. Someone spends a weekend setting up a pipeline. Six months later the pipeline has four deals in it, the automations are switched off and the team is back to working out of their inbox and a spreadsheet.

Nobody bought the wrong tool. The tool was never the thing that was missing.

What actually goes wrong

In my experience it comes down to three things.

  • It was set up around the software, not the business. Templates and default pipelines rarely match how you actually win work.
  • Nobody owns it. The person who set it up goes back to their real job, small problems pile up and people stop trusting it.
  • The follow up was never built in. A CRM that only stores contacts is a very expensive address book. The value is in what happens automatically after someone gets in touch.

Start with how you win clients

Before anything gets built, I want to know how a stranger becomes a paying client in your business. Where do they come from? What do they ask before they buy? How long do they take to decide? What happens after the first job?

Once that's clear, the system almost designs itself. The pipeline stages mirror real decisions, the follow up answers the questions people actually ask, and the reporting shows the numbers you already care about.

Then give it an owner

Systems decay without someone looking after them. Offers change, staff change, a form breaks after a website update. That's why every Afoofa build comes with a person who checks in every month and keeps improving it. It's also why we no longer sell logins on their own.
